Processor Shutdown and Termination Questions
For operators who have just lost the ability to take payment: what happens to held funds, what the notice actually permits, and the order to do things in.
What to do when a cannabis processor terminates, freezes or restricts your account.
What this category covers
These answers deal with termination, freezing and severe restriction. They cover what a termination notice typically permits the provider to do with settled and unsettled funds, how reserve release is usually scheduled rather than immediate, why the written basis for the decision matters for everything that follows, and what being listed on a network termination list means for opening the next account.
They also cover sequencing, because in a shutdown the order of operations is the whole game: stabilise a way to take money at all, preserve the evidence and correspondence, understand the funds position, and only then start the replacement application — with the termination disclosed, because concealing it makes the next decline more likely rather than less.
Why it matters operationally
A shutdown is a revenue outage and an underwriting event at the same time. How it is handled in the first week determines both how quickly acceptance is restored and whether the next provider treats the history as a disclosed fact or as something that was hidden from them.
Where operators go wrong
- Applying elsewhere immediately without disclosing the termination.
- Failing to request and retain the written basis for the decision while the account is still open.
- Assuming held funds are lost and not tracking the reserve release schedule in the agreement.
- Replacing the terminated arrangement with the same non-compliant product that caused it.
- Leaving the retail floor cash-only for weeks with no interim plan.

What happens if my cannabis processor shuts me down?
Acceptance usually stops immediately, in-flight transactions may be reversed or held, and remaining balances are commonly held for a defined period while the provider covers potential liability. Your priorities are to get the termination reason in writing, preserve records and settlement data, keep the business able to take payment some other way, and start a properly disclosed application with a provider whose sponsor bank supports cannabis.

Why do cannabis payment accounts get shut down?
Cannabis payment accounts are usually shut down for one of four reasons: the sponsor bank or network ends the program the account sat under, the merchant's activity did not match what was disclosed at underwriting, a compliance or monitoring review flagged the account, or risk metrics such as chargebacks, returns or volume spikes crossed the provider's thresholds. Terminations are more often a portfolio or programme decision than a judgement about one store.

Can I get my funds back after a processor terminates me?
Usually yes, but on the provider's timetable rather than yours. Most merchant agreements allow the processor to hold settled funds after termination for a defined period — often 90 to 180 days — to cover chargebacks, ACH returns and refunds. Recovery is a documentation exercise: get the termination reason and hold terms in writing, reconcile every batch, and escalate through the contract's dispute process.

How fast can I replace a terminated cannabis processor?
Realistically, days to a few weeks, depending on how complete your documentation is and which acceptance method you need. Merchants with a current licence, clean statements, entity documents and a defined product list move fastest; missing documents, unresolved holds or an unexplained prior termination extend the timeline. No provider can honestly promise same-day replacement for every case.
